Rental Late Fees: Check the Grace Period, Daily Charge and Cap

← Business Guides · Explore property operations

Calculate a user-verified fixed and daily late-fee schedule with a grace period and fee cap.

Confirm the schedule before calculating

Use the signed agreement and applicable rules to establish the grace period, fixed fee, daily fee and cap. Zero is a valid fee assumption when charges are not allowed or have been waived.

How the calculation works

Chargeable days = max(elapsed late days − grace days, 0). If chargeable days are positive, fee = min(fixed fee + chargeable days × daily fee, entered cap); otherwise fee = 0. Total = outstanding original unpaid amount + fee.

A worked example

Twelve late days less five grace days gives seven chargeable days. A fixed fee of 20 plus seven days at 5 equals 55, below the entered cap of 60. On a 500 balance, the scenario total is 555.

Check the day-count convention

The model subtracts the grace days from elapsed late days and charges each remaining day. If your verified schedule uses a different start or cutoff convention, calculate the applicable day count first. Document a waiver outside the model rather than changing the underlying original unpaid amount.

What the result leaves out

All fees and timing rules must already be verified as lawful and contractually applicable. This does not determine legal limits, compounding, notices or enforceability. It applies no interest to original unpaid amount.

The defaults are constructed examples, not market benchmarks. Choose one currency for every monetary input; the currency selector formats values and does not convert exchange rates. Keep a copy of the records and assumptions behind your result so you can repeat the comparison after the next reporting period.
