How this calculator works
Unused seats = max(paid seats − min(active seats, paid seats), 0). Removable seats = floor(unused seats × eligible percentage ÷ 100). Monthly savings = removable seats × monthly price. First-year net savings = monthly savings × (12 − delay months) − cleanup cost. Payback after savings start = cleanup cost ÷ positive monthly savings.Worked example
40 paid seats minus 28 active seats gives 12 unused seats. At 75% eligible removal, 9 whole seats can be removed. At 25 per seat, ongoing savings are 225 per month. A 3-month delay leaves 9 saving months: 225 × 9 − 300 cleanup = 1,725 first-year net savings. Cleanup payback after savings start is 1.33 months.Assumptions
Defaults illustrate the arithmetic, not market prices or expected performance. Use measured quantities and documented costs. All monetary inputs must use the same currency.Interpreting your results
No vendor accounts are scanned. Activity does not prove a seat is unnecessary. Contract minimums, tier changes, annual commitments and service accounts must be reviewed before removing access. This model assumes constant seat pricing and a single savings start date.Calculation formulas
- idle
MAX(seats-MIN(active,seats),0)- removable
FLOOR(idle*cancel_pct/100)- saving
removable*price- first_year
saving*(12-delay)-cleanup- First-year savings after cleanup costs
first_year- Monthly savings from removable subscriptions
saving- Unused subscriptions
idle- Whole subscriptions eligible for removal
removable- Current unused subscription cost
idle*price- Time to recover cleanup costs after savings start
